Privacy Policy

Cheyan UI/UX (“we”, “us”) is a design studio that builds AI talking websites — voice agents that greet visitors, answer questions, capture leads and book appointments. This policy covers our website at www.cheyanuiux.space, our contact and booking forms, and any lead form or ad we run on Facebook, Instagram or the wider Meta Audience Network.

We are the data controller for the information described here. If you contact us, the studio owner handles your enquiry directly.

Information you give us

• Through our contact form or a Facebook / Instagram lead form: your name, email address, phone number, business or website name, and whatever you write in the message field.
• When you book a call: your name, email address, chosen time slot and time zone, collected through our Cal.com booking embed.
• When you talk to the voice agent on our site: what you say to it and the transcript of that conversation, used to answer you and to follow up if you asked us to.
• By messaging us directly on Instagram, LinkedIn or email.

Information collected automatically

• IP address, browser and device type, referring URL, and the pages you viewed.
• Cookies and similar identifiers set by our site and by the analytics and advertising tools listed below.

We do not knowingly collect information from anyone under 18, and we do not ask for payment card numbers, government ID numbers or health information through any form or ad.

Lead forms

If you submit an instant form on one of our Facebook or Instagram ads, Meta passes us the details you entered — typically your name, email address and phone number. We use them only to reply to your enquiry, send you the material the ad offered, and, if you are interested, arrange a call. We do not sell, rent or trade lead data, and we do not add you to unrelated marketing lists.

Meta Pixel and Conversions API

Our site may load the Meta Pixel and send equivalent events through Meta’s Conversions API. These record actions such as page views, form submissions and booking completions so we can measure whether an ad worked and show relevant ads to people with similar interests. Where we send contact details for event matching, they are hashed before transmission.

Custom and lookalike audiences

We may create audiences from our website visitors or from a list of contacts who have engaged with us, and ask Meta to build lookalike audiences from them. You can stop seeing our ads at any time using the controls below.

Opting out

• Adjust your Facebook ad preferences or the equivalent settings in Instagram.
• Use Facebook’s Off-Facebook Activity tool to disconnect activity we have shared.
• Block or clear cookies in your browser, or use its tracking-protection settings.
• Email us at cheyan@cheyan.agency and we will remove you from our audiences and contact lists.

• To respond to your enquiry and send you a proposal or quote.
• To schedule, confirm and remind you about a call.
• To deliver and support the work you hire us for.
• To measure which ads and pages bring in enquiries, and to improve them.
• To send occasional follow-ups about our services, which you can stop at any time by replying “unsubscribe”.
• To meet our legal, tax and accounting obligations.

Our lawful bases are your consent (for marketing cookies, advertising and follow-up emails), the performance of a contract or steps taken before entering one (for enquiries and project work), and our legitimate interest in running and improving a small studio.

We never sell your personal information. We share it only with the service providers that make our business run, each acting on our instructions:

• Meta Platforms — lead forms, ad delivery and measurement.
• Vercel — website hosting and server logs.
• Cal.com — appointment scheduling.
• Our email provider — receiving and replying to enquiries.
• Our voice-agent and analytics providers — running the on-site assistant and measuring site usage.

We may also disclose information where the law requires it, or to establish or defend a legal claim. Some of these providers are based in the United States; where information leaves your region we rely on the transfer safeguards those providers have in place, such as standard contractual clauses.

• Enquiries that do not become projects: up to 24 months, then deleted.
• Client records: for the length of the engagement plus 7 years, to meet tax and accounting rules.
• Voice-agent transcripts: up to 12 months.
• Advertising and analytics identifiers: as set by the provider, typically up to 180 days.

Depending on where you live, you can ask us to:

• Give you a copy of the information we hold about you.
• Correct anything inaccurate.
• Delete your information.
• Stop using it for marketing or advertising.
• Withdraw a consent you previously gave.

Email cheyan@cheyan.agency with the request and we will answer within 30 days, free of charge. If you are in the UK or EU and are unhappy with our response, you may complain to your local data protection authority.

Enquiries are delivered to a password-protected mailbox with two-factor authentication. Our site is served over HTTPS, and contact details submitted through our forms are never published on the site. No system is perfectly secure, but we keep the number of places your information sits deliberately small.

We update this page when our tools or practices change, and the date at the top always shows the current version. Material changes will be noted here before they take effect.
